Terms of Service

Please read these Terms of Service carefully before using HackTribe.

These Terms govern your access to and use of the HackTribe platform, website, event pages, registration forms, dashboards, communication tools, judging tools, analytics, and related services.

By accessing or using HackTribe, you agree to these Terms. If you do not agree, you must not use the Service.

1. Who we are

HackTribe is provided by SIA Uxinolab, registration address: Strautu 4, Liepāja, LV-3401, Latvia.

In these Terms, “HackTribe”, “Company”, “we”, “us”, or “our” refers to SIA Uxinolab.

2. Definitions

Service means the HackTribe web-based platform, website, event pages, registration tools, idea and team management tools, mentor and judging tools, communication features, analytics, certificates, feedback tools, and related services.

Website means the HackTribe website available at www.hacktribe.co and any related HackTribe event pages.

Organizer means a company, university, public institution, non-profit organization, community, or individual that creates, manages, or pays for an event using HackTribe.

User means any person accessing or using the Service, including organizers, administrators, participants, mentors, judges, speakers, visitors, and other invited users.

Participant means a person who registers for or takes part in an event hosted through HackTribe.

Account means a user account created to access the Service.

Content means text, images, files, links, ideas, submissions, comments, event descriptions, judging criteria, mentor notes, certificates, feedback, or other materials uploaded, submitted, posted, generated, or made available through the Service.

Order Form means a written offer, invoice, agreement, subscription confirmation, or other commercial document describing the paid Service, plan, event, price, duration, and any special terms.

3. Acceptance of these Terms

By using the Service, you confirm that you have read, understood, and agree to these Terms.

If you use the Service on behalf of an organization, you confirm that you have authority to accept these Terms on behalf of that organization. In that case, “you” refers both to you personally and to the organization you represent.

If a separate written agreement or Order Form exists between you and HackTribe, that document will apply together with these Terms. If there is a conflict, the separate written agreement or Order Form will take priority for the conflicting part.

Your use of the Service is also subject to our Privacy Policy.

4. Accounts and access

To use certain parts of the Service, you may need to create an Account.

You agree to provide accurate, complete, and current information. You are responsible for keeping your login details secure and for all activity that occurs under your Account.

You must notify us immediately if you become aware of unauthorized access, misuse, or a security incident related to your Account.

You must not use another person’s account without permission or create an account using false, misleading, offensive, or unlawful information.

We may suspend or restrict access if we reasonably believe that an Account has been misused, compromised, or used in breach of these Terms.

5. Use of the Service

Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable right to access and use the Service for its intended purpose.

You must not:

  • copy, resell, rent, sublicense, or commercially exploit the Service without our written permission;

  • reverse engineer, decompile, or attempt to extract the source code of the Service;

  • interfere with the security, integrity, or performance of the Service;

  • use automated scraping, crawling, or data extraction tools without permission;

  • attempt to access data, accounts, or systems that you are not authorized to access;

  • use the Service for unlawful, harmful, fraudulent, or misleading activities.

We may update, improve, modify, replace, or discontinue features from time to time. We will use reasonable efforts to avoid unnecessary disruption to active paid events.

6. Organizer responsibilities

Organizers are responsible for the events they create, manage, or publish through HackTribe.

This includes responsibility for:

  • event rules, eligibility, terms, schedules, deadlines, and prizes;

  • participant selection, judging process, mentor involvement, and final decisions;

  • accuracy of event information;

  • communication with participants, mentors, judges, sponsors, and partners;

  • legal compliance related to the event;

  • obtaining necessary consents, permissions, and rights;

  • handling participant questions, complaints, and disputes related to the event;

  • ensuring that uploaded content, partner logos, sponsor materials, and event materials are lawful and authorized.

HackTribe provides the technical platform. Unless expressly agreed in writing, HackTribe is not the event organizer, sponsor, judge, employer, grant provider, or decision-maker for events hosted on the Service.

7. Participant and user responsibilities

Participants and other users must follow these Terms and any event-specific rules published by the Organizer.

Event-specific matters, such as admission, team formation, judging, prizes, awards, certificates, travel, reimbursement, and participation conditions, are the responsibility of the relevant Organizer unless we explicitly state otherwise.

Users are responsible for the content they submit and for ensuring they have the right to submit it.

8. Content ownership and license

You retain ownership of the Content you submit to the Service.

By submitting Content to HackTribe, you grant us a limited, worldwide, non-exclusive, royalty-free license to host, store, process, reproduce, display, transmit, and make that Content available only as necessary to operate, maintain, secure, and improve the Service.

For example, this may include displaying your idea submission to judges, showing your profile to an event organizer, generating certificates, processing registration forms, or displaying event information on a public event page if the Organizer has configured it that way.

We will not claim ownership of your Content.

We will not use confidential event submissions, participant ideas, or private event data for public marketing without permission, unless the relevant content has already been made public by you or the Organizer.

You are responsible for ensuring that your Content does not violate the rights of others, including intellectual property, privacy, publicity, confidentiality, or contractual rights.

9. Public event pages and visibility

Some parts of the Service may be public, including event landing pages, schedules, partner logos, speaker profiles, sponsor descriptions, public project galleries, or public team profiles.

Organizers are responsible for checking what information they publish publicly and for obtaining all required rights and consents.

Participants should not submit confidential or sensitive information to public parts of the Service unless they are comfortable with that information being visible publicly.

10. Prohibited content and conduct

You must not upload, submit, post, or transmit Content that:

  • is unlawful, fraudulent, misleading, or harmful;

  • infringes intellectual property or other rights;

  • contains malware, viruses, spyware, or harmful code;

  • contains spam or unauthorized advertising;

  • impersonates another person or organization;

  • violates another person’s privacy;

  • is defamatory, threatening, abusive, hateful, discriminatory, obscene, or otherwise objectionable;

  • promotes violence, illegal activity, or serious harm;

  • interferes with the operation of the Service.

We may remove or restrict Content, suspend accounts, or take other reasonable action if we believe these Terms have been violated or if action is necessary to protect users, organizers, third parties, or the Service.

11. Reporting illegal or infringing content

If you believe that content on HackTribe is illegal, infringes your rights, or violates these Terms, contact us at:

Please include enough information for us to identify the content, understand the issue, and contact you if needed.

We may review reports, request additional information, remove or restrict content, notify relevant users or organizers, or take other action where appropriate.

12. Intellectual property of HackTribe

The Service, platform design, software, features, workflows, user interface, trademarks, logos, brand assets, documentation, and other original materials are owned by HackTribe, SIA Uxinolab, or our licensors.

These Terms do not transfer any rights in the Service to you except the limited right to use the Service as described in these Terms.

You must not use the HackTribe name, logo, trademark, or branding without our prior written permission, except where this is clearly allowed by the Service or agreed as part of an event.

13. Feedback

If you provide feedback, suggestions, ideas, or recommendations about HackTribe, you allow us to use them without restriction or compensation.

You agree that we may use feedback to improve, develop, market, or modify the Service.

14. Fees and payment

Fees for paid use of HackTribe are set out in the applicable Order Form, invoice, proposal, subscription plan, or written agreement.

Unless otherwise agreed in writing:

  • fees are payable in advance or according to the payment deadline stated on the invoice;

  • fees are exclusive of VAT and other applicable taxes;

  • you are responsible for providing accurate billing information;

  • late payment may result in suspension or restriction of access;

  • paid fees are non-refundable, except where required by law or expressly agreed in writing.

If your plan includes limits, such as number of participants, events, administrators, storage, or feature access, you agree to use the Service within those limits unless additional fees are agreed.

We may change our standard pricing from time to time. Pricing changes will not affect an already agreed paid event or active subscription period unless the Order Form or agreement allows it.

15. Trials, discounts, and free access

We may offer free trials, discounted access, pilot access, or limited free plans at our discretion.

We may modify, limit, or end free or discounted access at any time, unless otherwise agreed in writing.

Free access is provided without guarantee of continued availability.

16. Cancellation and termination of paid plans

You may cancel a recurring paid plan according to the process described in the relevant Order Form, subscription settings, or written agreement.

Unless otherwise agreed, cancellation takes effect at the end of the current paid period.

For one-time events, access normally ends after the agreed event period, project period, or support period.

We do not provide refunds for unused time, unused participant capacity, unused features, or early cancellation unless required by law or agreed in writing.

17. Consumer rights

HackTribe is primarily intended for business, education, community, institutional, and professional use.

If you are a consumer under applicable law, you may have mandatory rights that cannot be excluded by these Terms. Nothing in these Terms limits rights that cannot legally be limited.

For Latvian and EU consumers, mandatory consumer protection rules may apply, including withdrawal rights for certain distance contracts where applicable.

18. Privacy and data processing

Our Privacy Policy explains how we collect, use, store, and protect personal data.

When an Organizer uses HackTribe to collect or manage participant data, the Organizer may be responsible for providing privacy notices, collecting necessary consents, and ensuring that the event complies with applicable data protection rules.

Where required, a separate Data Processing Agreement may apply between HackTribe and the Organizer.

Users should not upload unnecessary sensitive personal data unless it is required for the event and appropriate safeguards are in place.

19. Data retention, backups, and export

We use reasonable efforts to protect and back up data processed through the Service. However, we do not guarantee that data loss, corruption, or interruption can never occur.

You are responsible for keeping your own copies of important Content, files, submissions, and event materials.

After an event, subscription, or agreement ends, we may retain, archive, anonymize, or delete data according to our Privacy Policy, data retention practices, legal obligations, and any applicable written agreement.

Where reasonably possible, Organizers may request export of event data before access ends.

20. Third-party services and links

The Service may contain links to third-party websites, tools, integrations, or services.

We do not control third-party services and are not responsible for their content, availability, terms, privacy practices, or performance.

Your use of third-party services is subject to the terms and policies of those third parties.

21. AI and automated features

HackTribe may include or introduce AI-assisted or automated features, such as content generation, summaries, matching suggestions, idea feedback, mentor suggestions, analytics, or recommendations.

AI-assisted outputs may be incomplete, inaccurate, biased, or inappropriate. You are responsible for reviewing and validating outputs before relying on them.

AI-assisted features do not provide legal, financial, medical, investment, employment, or professional advice.

We may modify, limit, or discontinue AI-assisted features at any time.

22. Service availability and support

We aim to provide a reliable Service, but we do not guarantee that the Service will always be available, uninterrupted, secure, or error-free.

We may perform maintenance, updates, security fixes, or infrastructure changes from time to time.

Support is provided according to the applicable plan, Order Form, or written agreement. If no specific support terms are agreed, support requests can be sent to info@hacktribe.co.

Any service level agreement applies only if expressly agreed in writing.

23. Confidentiality

If either party receives non-public information from the other party that is clearly confidential or should reasonably be understood as confidential, the receiving party must use reasonable care to protect it.

This does not apply to information that is public, already known, independently developed, lawfully received from a third party, or required to be disclosed by law.

24. Suspension and termination

We may suspend or terminate access to the Service if:

  • you breach these Terms;

  • payment is overdue;

  • your use creates a security, legal, operational, or reputational risk;

  • we are required to do so by law;

  • your Account is used fraudulently or without authorization;

  • you misuse the Service or interfere with other users.

You may stop using the Service at any time.

Termination does not affect payment obligations, intellectual property rights, limitations of liability, confidentiality obligations, or other provisions that by their nature should continue.

25. Disclaimer

The Service is provided on an “as is” and “as available” basis.

To the maximum extent permitted by law, we disclaim all warranties, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, non-infringement, availability, accuracy, and reliability.

We do not guarantee that:

  • the Service will meet all your requirements;

  • the Service will be uninterrupted or error-free;

  • all defects will be corrected;

  • event outcomes, participation, judging, funding, prizes, or business results will meet expectations;

  • content submitted by users or organizers will be accurate, lawful, or appropriate.

26. Limitation of liability

To the maximum extent permitted by law, HackTribe and SIA Uxinolab will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of profits, revenue, data, goodwill, business opportunity, or business interruption.

To the maximum extent permitted by law, our total liability for claims related to the Service will be limited to the amount paid by you for the Service during the 12 months before the claim arose. If you have not paid for the Service, our total liability will be limited to EUR 100.

Nothing in these Terms limits liability that cannot legally be limited, including liability for intentional misconduct, fraud, or mandatory consumer rights.

27. Indemnity

To the extent permitted by law, you agree to indemnify and hold harmless HackTribe, SIA Uxinolab, and our team from claims, damages, losses, liabilities, costs, and expenses arising from:

  • your breach of these Terms;

  • your Content;

  • your event, if you are an Organizer;

  • your misuse of the Service;

  • your violation of the law or third-party rights.

This section applies only to the extent allowed under applicable law.

28. Changes to these Terms

We may update these Terms from time to time.

If changes are material, we will make reasonable efforts to provide notice before they take effect, such as by email, platform notification, or website notice.

By continuing to use the Service after the updated Terms take effect, you agree to the updated Terms.

If you do not agree to the updated Terms, you must stop using the Service.

29. Governing law and disputes

These Terms are governed by the laws of the Republic of Latvia, excluding conflict of law rules.

If you have a concern or dispute, you agree to first contact us and try to resolve it informally.

If the dispute cannot be resolved informally, it will be handled by the competent courts of Latvia, unless mandatory law gives you the right to bring a claim elsewhere.

If you are an EU consumer, you may benefit from the mandatory protections of the law of the country where you live.

30. Severability

If any part of these Terms is found to be invalid or unenforceable, that part will be interpreted or limited as much as necessary, and the remaining parts will continue to apply.

31. No waiver

If we do not enforce a right immediately, this does not mean we waive that right.

Any waiver must be in writing to be effective.
